Set up Pickware ERP, WMS, POS and Shipping in Shopware 6 for your UK business: prerequisites, installation, warehouses and bin locations, barcode scanning, order fulfilment and go-live.
If you sell with Shopware 6, whether from a warehouse in the UK or elsewhere in Europe, sooner or later you need more than a single stock number per product: bin locations, goods receipts, scanner-based picking, shipping labels, and a POS for your brick-and-mortar store. That is exactly what Pickware is built for. The modules run directly in the Shopware Administration, with no separate software and no interface syncing.
This guide walks you through the complete setup: from prerequisites, installation, and configuration to order fulfilment with barcode scanners and go-live. If you are not using Shopware 6 yet, start with our overview of Shopware development at solution25.
Pickware is an inventory management system (ERP) that is fully integrated into Shopware 6. Instead of syncing data between the store and an ERP, all modules work on the same database. Pickware consists of four building blocks:
The advantage is obvious: one interface, one inventory, no duplicate data maintenance. If you would rather connect an external ERP, our article on cost-efficient ERP integration for Shopware 6 covers the alternatives.
Check the following before installation:
Also create a database backup and test the installation in a staging environment first.
You can install Pickware via the Shopware Store in the Administration or via Composer. For production systems, we recommend Composer because it is reproducible and fits into your deployments:
composer require pickware/shopware-plugins
bin/console plugin:refresh
bin/console plugin:install --activate PickwareErp
bin/console cache:clear
Install the other modules as needed using the same pattern, for example composer require pickware/wms for warehouse management and composer require pickware/pos for the POS system. You will find the exact package names and the credentials for the Composer repository in the Pickware customer portal. Running cache:clear after each installation is a good idea. For notes on conflicts with other extensions, see our page on Shopware plugin development.
After activation, the section Settings → Pickware ERP appears in the Administration. Set up the basics there:
Next, bring over your existing stock with the initial stock import wizard. It reads the stock values from Shopware and books them as opening stock to the default warehouse. Afterward, spot-check a few products.
The WMS adds bin locations and mobile processes to the ERP. You connect the iOS app to your store by generating a QR code in the Administration and scanning it with the device. After that, you can record goods receipts, stock transfers, inventory counts, and picking right at the bin location.
Shipping labels for DHL, UPS, DPD, GLS, and Deutsche Post are created right from the order. The tracking number is written to the order and sent to the customer. To set this up, enter the carriers’ credentials in the respective module settings.
The POS runs on iPad or iPhone and uses the same inventory as the online store. It supports cash, card payments, gift cards, and Klarna. For use in Germany, a TSE connection under the German Cash Register Security Regulation (KassenSichV) is available; check the requirements before you start. This requirement applies to Germany; UK merchants do not need a TSE for their tills.
You create multiple warehouses under Pickware ERP → Warehouses, for example a main warehouse, a returns warehouse, and the stockroom in your physical store. Each warehouse gets an address and a priority for order assignment.
With the WMS, you define bin locations within a warehouse. A proven scheme is shelf, compartment, and level, for example A-03-2. Print a barcode label for each bin location so the app can clearly match location and product when scanning. A product can be stored in several bin locations, and the app suggests the shortest route when picking.
Goods receipt starts with a purchase order in Pickware. You choose the supplier and products, and Pickware suggests quantities based on reorder points and sales figures. When the goods arrive, you book the receipt against the purchase order, either in the app or in the Administration. Discrepancies are documented.
All receipts and issues appear as stock movements with timestamp, user, and reason. Manual corrections, transfers between warehouses, and inventory count differences use the same mechanism. That keeps your inventory traceable at all times, including for accounting.
The Pickware app for iPhone and iPad uses either the camera or a paired Bluetooth scanner. For scanning to work, your products need an EAN or a custom barcode in the product data. You can generate missing barcodes in Pickware and print them as labels.
Typical workflows in the app: scan and put away goods receipts, transfer products, count inventory, pick orders, and verify packages before shipping. Every scan creates the matching stock movement, so no follow-up work at the computer is needed.
With ERP, WMS, and Shipping together, an order looks like this:
You can extend each step with custom actions using the Shopware Flow Builder, such as notifications to customer service or handoffs to a CRM. Which systems make sense to connect is covered on our page about Shopware ERP and CRM integrations.
Pickware provides reports on inventory value, turnover rate, fast- and slow-moving products, and suppliers. Especially useful are the reorder suggestions, which combine reorder point, lead time, and sales velocity. CSV exports are available for further analysis in Excel or a BI tool.
Before using Pickware in production, we recommend this sequence:
For stores with several thousand products, plan a few days for the inventory count and put-away. The effort pays off quickly through fewer shipping errors.
Pickware turns Shopware 6 into a full-fledged inventory management system with warehouse, shipping, and POS, without additional interfaces. Setup can be done in a few days if your master data and barcodes are in order.
