The successful candidate will be responsible for providing administrative and facility support to staff members. The ideal candidate should have excellent communication skills, strong organizational and time-management abilities, and a proven track record of success in asset management.

Main Job Responsibilities:

Manage the executive's calendar, schedule appointments, and arrange meetings with clients, partners, and internal stakeholders.

Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and correspondence. Respond to inquiries and draft professional communications.

Coordinate travel arrangements, including booking flights, accommodations, transportation, and creating itineraries.

Assist in preparing, editing, and formatting documents, reports, presentations, and other business materials.

Organize and maintain files, records, and documents, both in physical and electronic formats. Ensure easy access to information when needed.

Build and maintain relationships with internal and external stakeholders, acting as a liaison between the executive and various parties.

Assist in the planning and coordinating of company events, conferences, and special projects.

Manage financial tasks such as expense tracking, processing invoices, and managing budgets.

Track and manage company assets, including equipment, vehicles, and inventory.

Maintain accurate records of asset acquisitions, transfers, and disposals.

Conduct periodic asset audits to ensure compliance and accuracy of asset records.

Coordinate with relevant departments to ensure timely maintenance and repairs of assets.

Assist in asset procurement processes, including vendor selection, price negotiation, and contract management.

Maintain a high level of confidentiality and discretion when handling sensitive information or dealing with confidential matters.

Qualifications:

Bachelor's degree in Business Administration, Accounting, or a related field.

2+ years of experience as an executive assistant with a focus on asset management.

Knowledge of German and English language

Excellent communication and interpersonal skills.

Strong organizational and time-management abilities.

Proficient in Microsoft Office Suite and asset management software.

Ability to work independently and manage multiple tasks simultaneously.

High level of attention to detail and accuracy.

Knowledge of financial management, budgeting, and accounting principles.
